Due to continued growth, we are looking for a highly organised Shipping Coordinator with import/export and supplier coordination experience who is eager to work in an agile and innovative workplace.

Reporting to the Head of Operations, the successful candidate will coordinate international shipments, support product procurement and factory sourcing, and provide accurate administration and finance support across our supply chain.

Responsibilities:

Job responsibilities comprise but are not limited to:

- Coordinate freight bookings and the collection, departure, arrival and final delivery of shipments for Australia, the US and other international markets

- Track shipments from origin through to final delivery, proactively following up delays, exceptions and delivery risks

- Prepare, collect and verify shipping and customs documents, including commercial invoices, packing lists, bills of lading and certificates of origin

- Liaise with freight forwarders, customs brokers, suppliers, factories, warehouses and internal teams to ensure smooth shipment execution

- Maintain accurate shipment information, milestones, costs and supporting documentation in the ERP and shipment tracking systems

- Coordinate delivery appointments, warehouse pre-alerts and receiving information

- Investigate and resolve freight discrepancies, damaged or short-delivered stock, documentation errors and shipment claims

- Obtain and compare freight quotes, monitor shipment costs and escalate material variances

- Source finished products and manufacturing suppliers from factories for new and existing product requirements

- Request and compare supplier quotations, pricing, minimum order quantities, lead times, payment terms and production capacity

- Coordinate product specifications, packaging requirements, samples and pre-production approvals with factories and internal stakeholders

- Arrange third-party quality assurance inspections and follow up product quality issues with suppliers

- Review freight, duty and logistics invoices against quotes and shipment records, and assist with landed cost calculations and reporting

- Maintain organised, complete and audit-ready supplier, sourcing, shipping and finance records

Qualifications:

The ideal candidate will possess the following skills, competencies and experiences:

- Demonstrated experience in shipping coordination, import/export, logistics, procurement or a similar supply chain role

- Knowledge of international freight processes, shipping documentation and customs requirements

- Experience liaising with factories, suppliers, freight forwarders, customs brokers and warehouses

- Excellent verbal and written communication skills

- High attention to detail and a strong commitment to accuracy

- Strong organisational skills with the ability to manage multiple shipments, priorities and deadlines

- Confident numerical and analytical skills, including reviewing freight costs, quotations and landed costs

- Proficiency in Microsoft Office, particularly Excel; experience using ERP or shipment tracking systems is advantageous

- A proactive, practical approach with the ability to work autonomously and collaboratively

- Ability to speak both fluent Mandarin and English
