Responsibilities:
1. Procurement & Supplier Management
• Identify, evaluate, and negotiate with reliable pesticide technical and formulation manufacturers across China.
• Negotiate pricing, payment terms, and lead times to achieve optimal cost efficiency.
• Conduct factory visits and supplier audits to ensure compliance with company and international regulatory standards as well as maintaining the audit reports.
• Build and maintain long-term supplier relationships to ensure product consistency and reliability.
• Look at Chinese Export Statistics for identifying suppliers who have the ability to supply at a competitive price, with consistent quality, consistent lead time and shipping cost advantages.
2. Product Formulation & Technical Understanding
• Understand pesticide formulation recipes as per the required packing, active ingredient concentrations, solvent and adjuvant systems, surfactants and other additives used.
• Work closely with formulation chemists and factories to develop or modify formulations and packaging based on target market requirements to achieve economies of scale.
• Review and verify formulation sheets, COC’s, COAs, MSDS, product specifications and batch manufacturing records.
• Ensure that product formulations comply with importing country regulations and importer product specifications.
3. Cost Analysis & Commercial Control
• Prepare comprehensive cost breakdowns from raw material/technical procurement to final export stage.
• Calculate total landed cost breakdown including:
o Technical material price
o Solvent/adjuvant/surfactant and other additive costs
o Formulation, tolling and packaging cost
o Quality inspection and third-party testing
o Local transport, storage and export handling
o Freight and insurance
o Customs, CIQ, and documentation charges
• Compare supplier quotations and identify cost-saving opportunities without compromising quality.
• Provide detailed cost reports to the supervisor for final purchase approvals.
4. Quality Assurance & Inspection
• Oversee pre-shipment quality and packaging inspections of each batch.
• Coordinate with Suppliers about the packaging material arrival dates, production schedule and expecting loading dates for pre-shipment inspection planning.
• Coordinate with third-party labs for independent testing when required.
• Maintain quality documentation, inspection reports and ensure adherence to importing country regulations and importer standards。
• Follow up with the head office to collect feedback sheets and claim sheets from the target market’s importers in case of any issues detected in the goods arrived.
• Document and resolve any quality deviations, and coordinate corrective actions with manufacturers for further avoidance.
5. Documentation & Logistics
• Verify all export documentation (invoice, packing list, COC, COA, MSDS, test reports, B/L, etc.) upon requirement.
• Coordinate with freight forwarders in case of FOB shipments for freight booking, timely and compliant shipments.
• Track shipments and update the head office on loading status and deviations.
6. Product Development & Innovation
• Support development of new formulations, packaging, product types and labeling aligned by:
o Communicating with import market teams for their requirements
o Analyzing Chinese export data
o Collecting new and existing product registrations data in China
o Sharing alternative/new product recommendations from Suppliers.
o Attending industry events like conferences, exhibitions like CAC, ACE etc to stay up to date with the industry trends and new developments.
• Liaise with laboratories and factories for formulation optimization, sample approval, and quality consistency.
• Liaise with the company R&D team and external technical partners for product improvement projects.
• Send potential product samples with manuals, field application videos and methods, COC, COA from suppliers to the Import market teams for new/alternative product development.
• Collect documents from Suppliers/Manufacturers/Certified labs in China and send to the import markets for product registration purposes.
7. Reporting & Communication
• Maintain updated procurement, cost, and product records in an organized format for analysis and comparison.
• Submit regular status reports, supplier performance reviews, and cost summaries as per the company requirements.
• Maintain structured records of supplier quotations, samples, and purchase orders.
• Act as an extension of the head office in China by resolving issues and streamlining all communication with its relevant vendors and authorities.
• Communicate effectively with the head office, ensuring timely updates and clarity on all active projects
